This notice explains how Anthoz Imp-Exp & Shipping Ltd (“ANTHOZ”, “we”, “us”) collects and uses personal information through this website, and the rights you have.

Who we are

What we collect

When you send an enquiry or a message through this website, we receive the information you choose to give us:

• Your name, and your company name if you provide it
• Your email address, telephone number and preferred contact method
• The details of your enquiry, such as the goods, quantities, locations, timescales and any message you write

The website does not keep a copy of your submission. It is sent securely by email to our business inbox, and a confirmation is emailed to the address you provide.

To protect the forms from abuse, the website briefly holds a one-way code made from your IP address in temporary memory to limit repeated submissions. The code cannot be turned back into your IP address, is not linked to your enquiry and is discarded within 24 hours.

Our hosting provider keeps standard server logs, which include IP addresses, for security and operational purposes.

Please do not include sensitive information, payment card details or identity documents in an enquiry. We do not need them at this stage.

How and why we use it

We use your information to:

• Review and respond to your enquiry, and keep a record of our conversation with you
• Take steps you ask for before entering into a contract, such as preparing a quotation
• Protect the website and its forms from spam and misuse

Our lawful bases are our legitimate interests in responding to and managing business enquiries and keeping the website secure, and taking steps at your request before entering into a contract.

We do not use your information for marketing, and we do not sell it. If we ever want to send you marketing, we will ask for your separate consent first.

Who we share it with

We use trusted service providers, who process information only on our instructions:

• Vercel, which hosts the website
• Resend, which delivers the emails sent by the website's forms
• The provider of our business email service, where enquiries are received and kept

Some of these providers may process information outside the United Kingdom. Where they do, we rely on safeguards recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement and Addendum.

We may also share information where the law requires it, or to protect our rights.

How long we keep it

• Enquiries and related correspondence: up to 24 months after our last contact with you, unless the enquiry leads to an agreement, in which case we keep the records we need for legal and accounting purposes, normally for six years
• Form protection codes: no longer than 24 hours

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and in some cases to receive it in a portable format. If you are unhappy with how we have handled your information, please tell us so we can try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
